Job Summary
Working under the supervision of the Supervisor, Traffic and Distribution Operations referring only exceptional problems and issues for management review or approval, the Distribution Support (DS) Specialist is a blended position consisting of existing Distribution Support duties & responsibilities, and additional duties in the Freight Audit department as outlined in this PCD. The DSS environment is deadline-driven and work must be accomplished with minimal to no errors.
Where applicable, this position assures departmental processes are performed in compliance with applicable Sarbanes-Oxley controls.
Primary Job Duties
• Prepares truck bills of lading and associated documentation for all LTL, and Third Party billing exception orders. Handles requests for changes to orders and logs cases in Call Tracker phone system, as well as PEGA Case Management System.
• Assists with the hourly processing of pick runs and printer room duties
• Assists with “stuck” orders and system issues.
• Completes post-audit on freight bills to ensure that the company pays the correct freight charges for services rendered.
• Resolves invoicing problems
• Maintains shipment database & prepares reports which tabulate and communicate traffic costs, quality, and departmental productivity for control and analysis purposes
• Provides freight quotes, proper routing instructions, shipping information and arrange special shipments, as needed.
• Additional Support Duties – Provide support to other departments as needed with special projects and tasks.
Hours for this position are 10:30am - 7pm Monday thru Friday
Required competencies:
• 40 WPM minimum typing skills to process documentation and make changes to sales orders.
• Experience with multi-phone line system to answer sales support inquiries.
• Knowledge of JD Edwards enterprise software (E1) to perform daily functions.
• Proficiency with Microsoft Office with ability to create and edit documents or simple spreadsheets.
• Experience with database products such as Filemaker Pro to retrieve and manage data.
• Experience with Internet-based applications and services to complete job-specific tasks.
• Familiarity with email etiquette, creating & organizing email folders, tabbed web-browsing, navigating multiple screens and solid computer literacy needed to complete daily functions.
• Intermediate Microsoft Excel skills with ability to create complex spreadsheets using formulas, including v-lookup, and pivot tables.
• Attention to detail in composing, keying, and proofing professional business materials.
• Knowledge of geography and ability to comprehend regulatory information is helpful.
• Customer oriented with ability to listen to and anticipate needs of the customer.
• Adaptable with ability to switch tasks based on shifting priorities.
• Effective verbal communication skills are essential to successfully completing tasks.
• Excellent written communication skills with ability to compose professional business communications via email, letter, and proposals.
• Interpersonal skills with ability to work well with all levels of the organization.
