Responsibilities

Working under minimal supervision of the Sr Director of Facilities, and in collaboration with the entire Facilities team, the Facilities Coordination Manager is responsible for managing and coordinating project-based initiatives undertaken by the Facilities team. The Manager is responsible for being familiar with the facility and lease details at all Connection locations to be able to call for service, repairs or support from property management. The Manager coordinates the efforts of other team members assigned to support a particular initiative. Maintains the Corporate seating plans, with the support of other department administration/delegates, which includes notations for applicable ergonomic adjunct assignments. Provides high level compliance reporting and department administrative support to the Sr Director of Facilities, with exceptional attention towards documenting facilities projects, building standards and building history. The Manager is actively involved in Facilities service agreement and contract negotiation discussions and holding service providers accountable for performance to ensure compliance with service agreement/contracts details. The Manager assesses and acts on opportunities to secure alternative utility providers at various facility locations (to improve services and control costs). The Manager supports Connection’s energy saving, environmental and sustainability goals and consciously schedules vendors and suppliers with similar goals/missions. The Manager is involved in oversight of our contracted security service provider and is an integral back-up for the Sr Director of Facilities to answer to non-business hour facilities or emergency calls to provide direction to the vendor(s) as needed. Co-manages our corporate access control system(s) and video surveillance system(s) in collaboration with the contracted security service provider. Serves as the Facilities department liaison with IT for software and hardware support and training.

 

JOB DUTIES: 

Manages and coordinates facilities projects, directs the efforts of other team members assigned to support initiatives.
 
Maintains the Corporate seating plans (with the support of other department delegates) which will include notations for applicable ergonomic adjunct assignments.
 
Provides high level administrative support to the Facilities Department.
 
Works closely with the Sr Director Facilities in the development of annual Facilities operating budgets and the tracking of costs throughout the year, with particular attention on unanticipated variances and determination of appropriate adjustments to spending practices (for the purpose of budget control).
 
Consults with management on modifying business processes to enhance service delivery
 
Fosters a climate conducive to establishing positive working relationships with others
 
Serves as the Facilities department liaison with IT for software and hardware support & training.
 
Collaborates with contracted security service provider on security systems and helps to provide a safe, comfortable work environment for employees.
 
Provides back-up support for managing peers to assure coverage for the development and retrieval of computer aided drawings (CAD); HVAC system management.
