Overview

Special Events Coordinator 

Working under the supervision of the Manager of Customer Experience, the Special Events Coordinator works with the Customer Experience team to support the administrative and systemic processes associated with execution of the Technology Integration and Distribution Center (TIDC) customer experience activities, and programs. The Special Events Coordinator organizes special customer events that are designed to build awareness and promote the organization's services. Additionally, the Special Events Coordinator provides administrative support for the TIDC Vice President and Senior Leadership Team.

Responsibilities

  • Coordinates all aspects of TIDC customer visits.
    • Coordinates customer events that are meant to assist the organization in meeting its strategic goals.
    • Collaborates with internal stakeholders to develop event budgets.
    • Schedules and confirms location and arranges for food, beverages, equipment and other logistical requirements.
    • Negotiates contracts and secures any needed permits.
    • Coordinates schedule, cross department action items, collateral, signage and promotional items needed for customer visits and technical summits.
    • Ensures operations run smoothly on the day of the event.
  • Maintains site digital signage for internal communications.
  • Administers some purchasing and accounts payable functions as assigned.
  • Provides general administrative support to the VP, Directors and other TIDC management as requested.
  • Performs all other duties or special projects as assigned.

Qualifications

Degree requirements:  Associate's Degree or the equivalent combination of education and work experience.

 

·         Sound technical skills, including knowledge of reporting, database and word processing applications.

·         Working knowledge of Microsoft Office Suite with ability to create a document or simple spreadsheet.

·         Well versed in event planning and hospitality logistics

·         Demonstrates excellent process and project management skills to flawlessly execute events

·         Solid critical thinking and analytical skills

·         Excellent written communication skills with ability to compose professional business communications via email, letter, and proposals.

·         Attention to detail in composing, keying, and proofing professional business materials.

·         Interpersonal skills with ability to work cross-functionally and across all levels of an organization.

·         Proficient in managing multiple priorities in a fast-paced, deadline-oriented environment.

·         Flexible with ability to work well independently and in a team environment.
