Overview

The Contracts and Solutions Specialist operates in a call center environment and uses a call tracker system, serving as a support resource on Volume Licensing for all Sales affiliates. Primary duties include creating and submitting high-level, customer-specific contracts for Connection’s Tier 1 vendors and managing the data generated by the customer agreement, along with all required purchasing activities. Provides Account Managers and other internal customers with volume licensing program guidance, information, and value-added solutions, through the entire sales life cycle. The VL Contracts and Solutions Specialist maintains personal knowledge of vendor programs and contract procedures within the assigned segment to make informed decisions that ensure licensing meets both vendor program and company audit requirements.

 

The Contracts and Solutions Specialist applies knowledge and experience to develop internal processes and documentation for supported Volume Licensing vendor programs. Identifies process improvements and enhancements by understanding unique business drivers and makes proposals for improved processes. Responds timely to all requests. Develops and maintains resources for the benefit of Sales and other associated teams.
Handles entry-level to complex purchasing activities based on the customer vendor contracts/agreements and program rules.

Responsibilities

  • Audit purchase orders for compliance with Volume Licensing vendor program specifications and internal controls.
  • Ensure internal controls are followed by validating customer eligibility for the vendor program and pricing requirements for compliance purposes.
  • Research and resolve processing issues with the associated vendor.
  • Obtain vendor authorizations for customer returns, including:
    • Providing services through a call center, case management, and email requests.
    • Managing and maintaining vendor notifications.
    • Using all necessary vendor-supplied resources and tools.
    • Auditing supplied information for accuracy.
    • Completing and submitting vendor contracts to fulfill sales order obligations.
    • Identifying potential issues in contract creation and submittal to avoid broken contracts.
    • Processing contract update requests, including changes to channel partner and contact information.
    • Managing documents associated with vendor contracts.
  • Develop and present documentation and data that meet sales and customer needs, including:
    • Managing and maintaining the Volume Licensing Program database, reports, and price sheets to support licensing business.
    • Creating cases and reporting for annuities and renewals.
    • Creating annual true-up forms in accordance with current company templates.
    • Developing and maintaining licensing resources for Sales and associated teams (e.g., cheat sheets, Sales Hub documentation, agreement lists and logs, vendor program resources, and system tool resources such as E1, Callback, PSN, SWA, and VLP).

Qualifications

  •  Proficient in Microsoft Outlook with the ability to formulate and send professional emails.
  • Advanced knowledge of CRM or ERP systems and intermediate knowledge of databases to audit and update information.
  • Proven experience with contractual volume licensing and an understanding of IT asset management.
  • Intermediate understanding of sales or product procurement operations with the ability to follow and improve processes within a vendor segment while maintaining set controls.
  • Analytical and systematic problem-solver with the ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Detail-oriented with strong proofreading skills and meticulous attention to accuracy.
  • Discreet with demonstrated ability to work in a confidential executive environment, using good judgment while acting as an ambassador for the company.
  • Process change agent with the ability to identify process improvements and system enhancements in a changing environment.
  • Organized with the ability to document activities, anticipate problems, plan schedules, and monitor performance according to priorities and deadlines.
  • Excellent customer service skills, with the ability to listen, anticipate customer needs, and prioritize and multitask in a fast-paced environment.
